Volunteer Job Descriptions:
Errand runner:
- Running messages
- Keep adjudicators supplied with water, pencils, etc.
Volunteer coordinator(s):
- Point-person for volunteers to check in.
- Review volunteer job descriptions with volunteers.
- Keep a list of who is volunteering where and when.
- Call any volunteers who have not checked in for their job on time.
Audio recording assistant: facilitate recording and uploading of performances to Google Drive
Usher:
- Open audience doors to and from between each group’s performance; close them before each group starts performing.
Band Guides:
- Meet your band at the instrument storage area,
- lead your band to the warm-up room,
- lead your band the performance stage 3 minutes before their performance time,
- after their performance, lead them off the front right of the stage into the audience and to their clinic room.
- You MUST KEEP THEM ON TIME!!!! Make sure they are not late to the stage door, and make sure that the band ends their clinic on time. Give the adjudicator a 5 minute warning before their clinic time is up. Bands must stop their clinic one minute before their time is over and exit the room.
- Once their clinic is finished, take them back to the north entrance to head to instrument storage.
Table Info/Greeter:
- Greet bands as they arrive and connect them with their Band guide.
- Know how to direct people to all the different locations in the auditorium (warm ups, clinic rooms, break room, bathrooms, etc.)
- Have copies of the PSJF General Information sheet, programs, maps, extra copies of blank band performance information sheet.
- Give band directors their individual schedule, map and a copy of the program.
- Make sure you check the band off on the table list and check that they have turned in their Band Performance Sheet! If they are missing one, have the director fill it out immediately and then give to stage manager/crew.
Stage Manager:
- Keep copies of each group’s performance information sheet.
- Instruct stage crew how to set up for each group.
Stage Crew:
- Arrange the correct number of chairs and music stands on the stage for each individual performance group.
- Make sure it is quiet backstage in the North entrance area.
MC Event: Announce each group according to the performance sheet (name of group, school, director, musical selections along with composer/arranger).
Clean-up Crew:
- Break down equipment.
- Load equipment to be returned to JHS.
- Go to JHS to unload equipment.
